About Bowbridge Homes
It is an exciting time for Bowbridge Homes! Our team is growing and, as a result, we have a requirement for an Office Administrator to provide administrative support for our team. This role offers the successful candidate the opportunity to work across a number of departments in a growing and forward-thinking housebuilding business.
The Role
Responsibilities will include:
Project Management support
o Manage the project register of drawings and other design information
o Manage filing of drawings and other design information on SharePoint
o Help Principal Designer produce project health and safety files
o Assist with and send out miscellaneous letters, such as to the site’s neighbours and the local emergency services to notify them of our site commencement and completion
o Organise & take notes/minutes at periodic internal project reviews & project shutdowns
o Assist with Management Company set up – create plot info data base, issue drawings, etc
o Complete the plot registrations for mains utilities and deal with the aftersales meter reading submissions and accounts queries that may occur
o Complete the NHBC or equivalent provider application forms, administer the NHBC portal, etc
Site Management support
o Produce site starter packs; management forms/files, consumables (first aid kit, paper, handwash, etc.), printer, CDM H&S signage, etc.
o Manage the on-site consumables provisions for tea, coffee, cleaning, etc
o Request and collate Contractor site specific risk assessments and H&S method statements – file and issue to site
o Print drawings & send to site
o Collate goods received notes and input on to Sage Construction Manager
o Raise miscellaneous low value POs for site consumables & liaise with suppliers
o Manage the site manager IT/Phone/Wi-Fi/Uniforms
o Maintain a site equipment/cabins/plant data base for owned or hired in plant
Commercial Management support
o Ensure copies of valid, in-date supply chain insurances are held & chase up subbies where required
o Administer the Insurance cover requirements for each business unit
o Assist completing credit account applications for suppliers & manage the supply chain database
o Manage self-billing agreements to ensure they remain in-date
o Assist with any rebate deal admin where needed (Openreach, etc)
o Deal with Affordable Housing handover packs
Sales Support
o Administer and maintain the individual plot sale folders – file reservation, colour choice, home demo and handover documentation
o Produce homeowner packs
o Feed through to our customer care providers for customer care issues
o Assist with contract printing and signatures
o Be responsible for the showhome IT, phone and Wi-Fi
HR admin
o Updating records and data on our HR system
General admin
o Answer the office phone & direct enquiries
o Manage general email addresses
o Manage SharePoint filing
o Set-up management systems for new projects: Project directory, SharePoint filing system, Sage Construction Manager, subbie applications email address, etc.
o Keep up-to-date records of the whereabouts of IT equipment
o Manage booking of meeting rooms
o Manage office consumables; stationery, tea/coffee, printer ink, etc.
o Manage the PPE
The role will be predominantly based in our office in Corby, with some flexible home working. Some travel to site may be required
